PRIVACY POLICY FOR MEMBERS AND APPLICANTS FOR GRANT ASSISTANCE

The Directors of the Buchanan Society appreciate that both Members of the Society and Applicants for Grant Assistance trust us to collect, store, and process personal information about them in a safe, secure and responsible way. We will only store information that is necessary for us to keep.

MEMBERS

  • We will only store the information contained within the membership application form which you completed namely your name, address, telephone number, email address, date & place of birth, occupation, titles degrees or honours, parent`s names and relationship to any other member of the Society past or present. We will also store your membership number.

  • As all members are Members for Life this information will be stored indefinitely.

  • You can contact us if you wish your details to be deleted or amended and this will take place immediately.

  • You have a right to inspect any details about you which we hold.

  • We will never share your information with third parties without permission

  • We will not store information on any child member under the age of 13 without the consent of a parent or guardian.

  • All members should note that their names, addresses, year of joining, membership number and relationship to other members (if any) are contained within the Buchanan Society Handbook which is given to all new members on joining.

APPLICANTS FOR ASSISTANCE

We appreciate that when you contact the Buchanan Society you trust us with not only your contact details but also a lot of personal and sensitive information. We use this information to provide you with suitable support but we want you to understand what data we collect, why we collect it, what we do with it and how we store it.

  • Your information will be kept in a secure location on a password protected data base or in relation to paper application forms and correspondence then in locked storage

  • Your information will only be used in relation to your grant application

  • Your information will be destroyed at the termination of the grant period

  • Your information will not be passed on to any third party

  • You have a right to view or amend the information about you

  • Only information which is relevant to your grant application will be stored.

  • We restrict access to your personal information to the Directors of the Society. Some volunteer visitors will also have limited access to information if they are involved in visiting you to make an assessment on your application for assistance.
